Job Summary:

The Executive Assistant works in conjunction with the Regional Program Director in the day-to-day operations of NYS Programs. The Executive Assistant will work on multiple projects simultaneously to ensure program goals met, helps to identify areas of improvement/ creates action plans, and serves as a liaison to multiple departments to coordinate projects, activities, and training sessions.   Our ideal candidate must possess excellent excel skills and have a high proficiency in data analysis and change management.

Essential Duties and Responsibilities:
  • Run reports and analyze data and trends to present to Director.
  • Review timesheet and attendance for Managers.
  • Manage scheduling of meetings for different departments.
  • Participate in company outreach or networking events as needed.
  • Manage company hosted trainings and workshops and determine success rate of each activity.
  • Create or gather agenda for meetings.
  • Manage and consolidate productivity of different departments.
  • Learn and assist in developing policies and procedures manuals.
  • Plan and organize initiatives for improvement.
  • Review and analyze dashboards to identify action items.
  • Must have knowledge in navigating excel based reports.
  • Conduct reporting on areas of deficits and areas of excellence using excel based reports.
  • Able to independently navigate Microsoft office suite.
  • Work on special projects as assigned

Education Or Work Experience Requirements:
  • Bachelor’s Degree required.
  • At least 3 years’ experience working with a human services or for-profit healthcare company.
  • Must have intermediate to advanced skills in excel, including vlookups, PivotTables, text functions, macros and keyboard shortcuts.
  • Computer savvy and ability to adapt quickly to new technologies.
  • Must have the ability to analyze and interpret data to translate into plans for departmental improvement.
  • Highly self-motivated, self-directed, and attentive to detail.
  • Possesses a can do attitude, is a positive and communicative person who is resilient in the face of change.
  • Exceptional organizational skills and strong attention to detail.
  • Is a loyal individual who is value and mission driven.
  • Experience in an early intervention program a plus.
  • Bilingual Spanish a plus.
  • Must be available to travel occasionally to our locations in Westchester and Long Island
Physical Requirements:
  • Must be able to travel to and from assigned work events including but not limited to driving a personal vehicle, walking, and/or use of public transportation such as a bus or train.
  • Occasionally ascends/descends stairs going to, while at, or leaving work location or facilities traveled to for work events.
  • Occasionally moving and/or lifting objects at work weighing up to 20 pounds.
  • Must be able to remain in a stationary position for prolonged periods up to 90% of the workday working on a computer/electronic device.
  • The ability to observe details at close range (within a few feet of the observer).
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

Compensation: Full-time salary, exempt, $64,300
Hours: Monday-Friday 9am-5:30 pm Must Be Willing To Work Overtime As Needed. This position is in office 5 days a week.
