Job Summary:

We are seeking an Office Manager/HR Coordinator to oversee the physical operations of our Forest Hills office and support our HR team. This role includes Forest Hills facilities management, receptionist supervision/coverage, HR onboarding, benefits and leave administration, HR data entry, events coordination and execution, and more. The ideal candidate is a professional, friendly, assertive, and flexible individual with strong organizational and interpersonal skills.

Essential Duties and Responsibilities:
Office Responsibilities
  • Responsible for all office maintenance (HVAC/copiers/elevators/kitchen)/light cleaning as needed
  • Responsible for all office projects, office upkeep, ordering, and renovation management
  • Coordinates staff meetings, creation of presentations and room set up/ordering food
  • Responsible for the physical state of the office at all times/light cleaning
  • Oversee keycards, IDs, office safety, first aid kit
  • Supervise receptionist/provider front desk coverage as needed
  • Plan and execute all office events/virtual team building events
Human Resources
  • Conducts HR Orientations and completes the onboarding process for new hires
  • Conducts stay, tenure, and exit interviews; communicates feedback/brings trends to light with suggestions for improvement (therapists, admin staff, management)
  • Responsible for HR processing including hires, separations, change in status as well as benefits and leaves of absence/FMLA
  • Tracking of I-9s and anti-harassment training
  • Unemployment claim completion, worker’s comp, and employment verifications 
  • Accurately processes all employee requests into the HR system and retention reports
  • Other duties assigned by Director as needed

Qualifications and Other Requirements:
  • Minimum of 4 years of office experience
  • Strong Word, PowerPoint, and Outlook skills required
  • Able to manage an extremely high volume of emails daily 
  • Excellent written, verbal, and presentation skills required
  • Excellent demonstrated follow-up skills & attention to detail
  • Strong relationship-building skills-must be able to communicate effectively with all levels of staff
  • Must be resilient, flexible, and a multitasker. 
  • Possesses a positive, can-do, positive personality
  • A great sense of humor helps! 
  • Bilingual Spanish a plus!
Physical Requirements:
  • Occasionally ascends/descends stairs going to, while at, or leaving work location or facilities traveled to for work events.
  • Occasionally moving and/or lifting objects at work, weighing up to 35 pounds, such as files or copy paper.
  • Must be able to remain in a stationary position for prolonged periods of time up to 90% of the workday, working on a computer/electronic device.
  • The ability to observe details at close range (within a few feet of the observer).
  • The ability to communicate information and ideas so that others will understand. Must be able to exchange accurate information in these situations.

Compensation: Full-time $65-$75k based on experience, overtime required as needed.  No time off is approved from early October to mid-November yearly due to benefits enrollment for the company. 
Hours: Monday: 8 am-5 pm, Tuesday-Friday: 8:30 am-5:30 pm. Note that this role is not hybrid and is in the office daily. Must be available to come in early and/or stay late as needed. Travel to our Long Island and Westchester offices a few times a year will occur.
