Job Summary:

The Records Management Coordinator is responsible for maintaining all child files (hard copy and electronic) as well as handling all general office management responsibilities.  Establishing and maintaining a professional working relationship with all Service Coordinators and providers.

Essential Duties and Responsibilities:
  • MUST BE BILINGUAL SPANISH
  • Front desk responsibilities such as greeting / helping visitors, covering the main phone line etc.
  • Responsible for the sending and distribution of mail.
  • Responsible for inventory and ordering of office supplies
  • Ensure all hard copy filing for the Early Intervention program is up to date.
  • Utilize various databases and drop boxes to ensure all electronic child files are up to date and contain required documents
  • Follow up on start dates and progress reports for the Early Intervention Program
  • Responsible for the completion and submission of outside document requests.
  • Ensuring accurate and timely data entry
  • Ensuring child files are compliant with state and county regulations
  • Communicating with families regarding the Early Intervention process and providing support.
  • Work efficiently to meet all departmental goals and compliance deadlines
  • Assist with the resolution of billing issues
  • Other duties as assigned by manager

Physical Requirements:
  • Occasionally moving and/or lifting objects at work weighing up to 20 pounds such as files or copy paper.
  • Must be able to remain in a stationary position for prolonged periods of time up to 90% of the work day working on a computer/electronic device.
  • The ability to observe details at close range (within a few feet of the observer).
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
