Job Summary:

The Pediatric Staffing Coordinator is responsible for the full life cycle of staffing of ABA cases. This person will staff all cases, provide orientation for new providers, and keep track of and monitor schedule availability. This position will require building a strong rapport with our families and providers to ensure that all children receive the best quality of services as soon as possible.

Responsibilities:
  • Working closely with clinical providers to match them with our pediatric clients for service provision
  • Data entry of scheduling and client/provider information into our online data system
  • Updating our clients’ scheduling needs daily through our internal reporting system
  • Quality contacts for therapists and families to ensure they are satisfied with the services being rendered
  • Developing a positive rapport with our families and clinical staff members
  • Monitoring provider and client session cancellations to ensure our children are receiving their full recommended hours
  • Scheduling orientation for newly hired therapists and creating monthly orientation schedule
  • Email set up for new clinical staff members
  • Assisting providers with online data system questions/issues, as needed
  • Maintaining case statuses and entering updates into online reporting system, as needed
  • Work from our Melville clinic site to help cover suite maintenance during social skills events for our children, as needed.

Qualifications and Other Requirements: 
  • Bachelor’s Degree preferred
  • 1-3 years’ experience in an administrative setting, medical setting preferred
  • Excellent verbal, written, and interpersonal communication skills 
  • Ability to multitask, problem solve, prioritize and use time efficiently
  • Computer savvy and ability to adapt quickly to new technologies
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint and Word)
  • Ability to adapt to a changing environment or unexpected events
  • Exceptional organizational skills and strong attention to detail
  • Access to a car is preferred
Physical Requirements:
  • Occasionally ascends/descends stairs going to, while at, or leaving work location or facilities traveled to for work events.
  • Must be able to remain in a stationary position for prolonged periods of time up to 90% of the work day working on a computer/electronic device.
  • The ability to observe details at close range (within a few feet of the observer).
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

Compensation: Full-time hourly non-exempt $21-24 per hour
Hours: Monday-Friday 9:00am-5:30pm. Must be willing to work overtime and weekends as needed.
