Achieve Beyond is a national Pediatric Therapy and Autism Services agency. With offices in New York (Metro area/Long Island, Hudson Valley & Albany), New Jersey, Virginia/DC area, Connecticut, Maryland, Southern Florida, and California (greater Los Angeles), Achieve Beyond provides quality evaluation and therapy services such as special education, autism services, speech, physical, and occupational therapies to children birth through twenty-one years of age.

We are looking for a dynamic, professional, and hardworking Initial Assessment Coordinator to join our growing team in Melville. This entry level role will be trained on various aspects of our insurance business and will speak regularly with parents and insurance companies. We are looking for a candidate who takes pride in their work and wants to grow their skill set within a company.

Responsible for obtaining paperwork, requesting authorizations, and ensuring staffing for all initial assessments and monitors initial assessment reports to ensure all reports are received timely so that all new cases can start services immediately.

  • Follows up with families who have completed their benefits verification for all required intake paperwork to start ABA services.
  • Staffs Initial case with BCBA supervisor
  • Requests the assessment authorization with insurance.
  • Confirms with family and BCBA Assessment date.
  • Follows up with BCBA to ensure the Assessment was completed and submitted for review within 7 days of the notification date.
  • Enters in the Assessment authorization into our electronic database once approved.
  • Sends the initial assessment/re-assessment to the parents for signature and lets them know we cannot start services until they sign the assessment report & upload signed assessments into our electronic database.
  • Follows up with parents regarding Medical Necessity letter with availability for services as well as the signed Assessment.
  • Requests Service Authorization from insurance once receive signed Assessment.
  • Pre-Staffs Behavioral Therapist on case while waiting for the service authorization.
  • Sends out staffing notification for new client to BT and BCBA. Makes connections and adds schedule into electronic database once start date is confirmed.
  • Follows up with BT to ensure he/she went to the first session.
  • Enters un-staffables if unable to staff BCBA or BT on new cases.
  • Sends weekly Assessment snapshot every Friday to ensure at least 2 Assessments are scheduled per week for each state.
  • Other duties as assigned by manager


  • Bachelor’s Degree Preferred
  • Case Management Experience Preferred
  • 1-2 Years of Customer Service Experience
  • Experience with medical insurances and obtaining authorizations is preferred
  • Must be able to multitask in a fast paced environment
  • Organized and self motivating
