Achieve Beyond is a national Pediatric Therapy and Autism Services agency. With offices in New York (Metro area/Long Island, Hudson Valley & Albany), New Jersey, Virginia/DC area, Connecticut, Minnesota, Maryland, Delaware, and California (greater Los Angeles & Orange County, and San Diego). Achieve Beyond provides quality evaluation and therapy services such as special education, autism services, speech, physical, and occupational therapies to children birth through twenty-one years of age via telehealth, in clinic and in homes and the community.

We are looking for a dynamic, professional, and hardworking Front Desk Administrator to join our growing team. This role will work directly with all persons in the Melville office as a point of contact for front desk coverage, calls, mail, faxes, and materials. This role also assists the HR department with various tasks. This role is an in-office position.

Responsibilities:

  • Basic Reception Duties:
    • Maintain the appearance of the office (kitchen, conference room, etc.) and organize the storage room
    • Open, stamp, and distribute mail every day to the proper departments
    • Answer phones and distribute faxes, UPS, and other deliveries as necessary
    • Maintain postage machine (refill money, troubleshoot, and order ink)
    • Enter tickets to order business cards, name plates, etc.
    • Inform Forest Hills to order toner for copy machines/printers
    • Order Supplies (scan and e-file all paperwork related with supplies)
    • Fix/Call technicians for any malfunction of office equipment
    • Monitor workshop registration and execution
    • Set up conference room for workshops/meetings
    • Subrogation letters
    • Projects assigned by program
  • Records Management:
    • E-filing documents for all departments
    • Be fully cross-trained for hard copy filing documents
    • Child records release
    • E-File therapist documents when received
  • Organization and Distribution of Testing Materials
    • Sign out, accept deposit, and follow up with tests that are out weekly
  • Human Resources/Provider Relations
    • Plan and coordinate office activities
    • New hires office setup
    • Monitor and maintain positive employee morale for office staff and salaried therapists
  • Other Requirements:
    • Additional duties as assigned by supervisor

Requirements:

  • Preferably Associates/Bachelors Degree
  • Prior office experience preferred
  • Bilingual in Spanish for phone conversation
  • MS Office programs, MS Excel experience a plus
