We are looking for a dynamic, professional, and hardworking Front Desk/Administrative Assistant-Bilingual Spanish to join our growing team. This role will work directly with all persons in the Melville office as a point of contact for front desk coverage, calls, mail, faxes, and materials. This role also assists the HR department with various tasks. This role is an in-office position. Please note that after 3 months this role is subject to transfer to an open administrative assistant role within the Melville office.

Responsibilities:

  • Answer phones and distribute faxes, UPS, and other deliveries as necessary
  • Open, stamp, and distribute mail every day to the proper departments
  • Maintain postage machine (refill money, troubleshoot, and order ink)
  • Daily check-in of staff and visitors, temperature checks, and questionnaire completion, vaccine letters, and scanning
  • Completion/creation of employment verification letters for employees
  • Creation of new hire electronic folders and all filing of HR items
  • Review of new hire paperwork for clinicians for clearance
  • Responsible for access for Employee Self Service System-troubleshoot employee issue till resolution
  • Assisting with set up of conference room for workshops/meetings (as needed)
  • Effectively communicate any known office related issues to the HR Department to ensure all issues are resolved in a timely fashion
  • Organization and distribution of testing materials
  • Monitor and maintain positive employee morale for office staff and therapists
  • Maintain the appearance/cleanliness of the office (kitchen, reception area, conference room, etc.), light cleaning of fridge, wipe down of high traffic areas throughout the day and organization of the storage room
  • For four holidays per year will be responsible for answer phones from home and on early dismissal days covering the front desk operations till the end of business day.

Requirements:

  • Associates/Bachelor’s degree or prior office administrative experience.
  • Bilingual Spanish preferred
  • Ability to multitask, prioritize and use time efficiently.
  • Excellent organizational skills, attention to detail and interpersonal skills.
  • MS office programs, MS excel experience a plus
