Achieve Beyond was founded in 1995 and is continuously growing to meet the needs of developmentally disabled children through our ABA, speech, occupational, and physical therapy. We currently offer our services in the entire metro New York area (including the five boroughs of NYC, Hudson Valley and Long Island) and Albany, New Jersey, Connecticut, Delaware, California (within in the greater Los Angeles, San Diego and San Francisco areas), Florida, and the Virginia/ Maryland/ DC area. We specialize in conducting initial evaluations and providing ongoing services in home, community and clinic settings. The Staffing Coordinator’s role is to promote the growth of Clinic Services. They are responsible for the intake and staffing of all referrals received for services; staffing them with the best fit provider, and continuing to follow up until the case has begun services. Ideal candidate will be very self-motivated, organized, and detail oriented.

Responsibilities:

The goal of the Staffing Coordinator is to grow the number of services started in the Insurance/Clinic program while also minimizing the number of controllable re-staffs.

  • Contact all new referrals, ensuring they have been contacted, all initial case information has been entered into the database and document all case information and communication with families, funding sources, and therapists.
  • Send and follow up on the welcome packet, audit all intake paperwork and upload to Central Reach (if not done directly through the portal).
  • Get authorization for, schedule and follow up on initial and re-evaluations (follow up with therapist to ensure evaluation is submitted within 7 days).
  • Establish and maintain solid relationships with insurance funders to continue referral sources
  • Assign cases to salaried and independent therapists considering family schedule, therapist schedule, room schedules, dominant language of the family, and other relevant factors; sends staffing emails; connects clients and staff on CR, and disconnects when restaff occurs.
  • Calls family (or speaks with family in person) to follow up 2 weeks after a case is staffed/restaffed.
  • Create and maintain therapist schedule and availability
  • Enter all referrals unable to staff within the week into CA unstaffables with reasons and locations (for ongoing cases)
  • Re-staff all necessary cases within 2-3 days in order to avoid gaps in service
  • Submit discharge, on hold, and restaffing tickets for Insurance program
  • Sends weekly reports
  • Collaborates with Recruiting on needs list and any staffing needs
  • Covers reception duties in mornings and every other Saturday.
  • Other duties assigned by manager

Requirements:

  • Customer Service experience preferred
  • Bachelor’s degree preferred
  • Bilingual English/Spanish mandatory
  • Moderate Microsoft Office skills; familiarity with/ability to quickly learn databases
  • Solid interpersonal and communication (oral and written) skills
  • Ability to meet deadlines and multi-task
  • Excellent attention to detail
  • Ability to effectively work independently
